Document Control Specialist

Position Responsibilities
IPS is looking for a talented Document Control Specialist (concentration on contract administration) to work at a client site in Swiftwater, PA.
The Document Control Specialist manages the storage and transmission of project documents produced by IPS, clients, vendors, subcontractors, and consultants. This will include coordinating the flow of technical documents including engineering drawings, specifications, calculations, reports, submittals, contracts and purchase orders. Contract administration duties will include preparing, examining, analyzing, negotiating, and revising contracts that involve the purchase or sale of goods or services such as equipment, materials, supplies, or products.
Job Duties and Responsibilities
Ensure compliance with corporate document conventions, including numbering and approvals.
Ensure compliance with project-specific document conventions, including numbering, approvals, distribution lists and quality assurance requirements.
Oversee the preparation and revision of contracts that involve the purchase of sale of goods and services.
Work with Project Managers to establish document distribution plans for each assigned project.
Maintain document distribution systems and schedules for assigned projects based on client, project, and contractor requirements. Expedites review, approval, and distribution of supplier and internally produced project documents. Track authorizations and correspondence.
Maintain an audit file for each contract which will include original contract, all correspondence, changes/deviations, amendments, clarifications and payment schedules.
Establish and maintain paper and electronic files for assigned project in accordance with corporate requirements.
Establish and maintain electronic indices of project documents and generate reports that meet project requirements.
Support preparation of transmittals of engineering and procurement documents.
Provide contract summaries and ensure contract execution in accordance with company policy.
Arrange catalog, package, long-term storage, and disposal of project documents at time of project closeout and perform closing activities as needed.
As required and requested by project and design managers, attend project coordination meetings and provide status updates of engineering documents, procurement documents, and submittals.
Prepare and disseminate information to appropriate employees regarding contract status' and facilitate contractor meetings.
Special projects as assigned.
Qualifications & Requirements
A minimum of 5 years of document control experience in the Architecture / Engineering / Construction industry (A/E/C).
Proven work experience using File Sharing sites for document posting, uploading, downloading, and manipulation (SharePoint, FTP, etc.).

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
